1. Agreement to Terms
By accessing or using the Umbraphile website, booking our services, or engaging with our staff, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use our website or services.
These terms constitute a legally binding agreement between you (“Client,” “you,” or “your”) and Umbraphile Entertainment (“Umbraphile,” “we,” “us,” or “our”).
2. Services Description
Umbraphile provides masked mobile bartending, event staffing, event theming, and consulting services throughout the New England region. Our staff are all-male professionals, all 21 or older. Our bartenders are TIPS certified, ServSafe trained, and hold Pernod Ricard BarSmarts Advanced credentials.
Our services include, but are not limited to:
- Mobile bartending with custom cocktail menus and themed mobile bars
- Event staffing (servers, and hosts by request for events of 50 or more guests)
- Event theming (themed wardrobe and masks, atmospheric lighting, bar dressing, limited décor)
- Consulting and venue opening, by application (cocktail programs, bar design, staff training, opening night)
We accept only the themes we can execute properly, and we may decline any theme or booking at our discretion.
Wardrobe: Clients choose a staff look when booking: Penumbra, Partial, Annular, Totality, or a themed look. Totality is available by application only. Every look depends on what is allowed at your venue and under local law, and we may change or decline a look to comply.
Hospitality only: Our services are hospitality services. Staff arrive in the look you booked and stay in it. Staff do not strip, and no sexual services are offered or provided.
Important: Umbraphile does not sell or provide alcohol. Clients are solely responsible for purchasing and supplying all alcoholic and non-alcoholic beverages for their event.
3. Booking & Payment
All bookings are subject to availability and confirmed upon receipt of a signed agreement and deposit.
- Deposit: A deposit of 25% of the booking total is required within 48 hours of booking confirmation to secure your date. Failure to remit the deposit within this timeframe may result in release of the date.
- Minimum requirements: All bookings require a 4-hour minimum service period and a minimum of 20 guests.
- Pricing: Specific pricing is provided via individual quote based on event details including guest count, services requested, location, duration, and any special requirements.
- Final payment: The remaining balance is due 7 days before the event.
- Payment method: We accept cash only for deposits and balances. We do not accept cards, checks, or online payments for bookings.
- Gratuity: Gratuity is included in every booking. You may choose a higher included gratuity when booking. Guests may tip on top only if you choose to allow it, by tip jar, Venmo code, or both. Venmo is for guest tips only.
Umbraphile reserves the right to adjust pricing for events that substantially deviate from the details provided at the time of booking (e.g., significant increase in guest count or extended hours).
4. Cancellation Policy
- 14 or more days before the event: You owe nothing further. Your deposit is not refunded, but carries over as credit toward a new date within 12 months. Credit not used within 12 months expires.
- 7 to 13 days before the event: 50% of the booking total is due. Your deposit counts toward this amount.
- Fewer than 7 days before the event: The full booking total is due, because our staff turned down other work to hold your date.
- If we cancel: You receive a full refund of everything you have paid.
- Severe weather or emergencies: We will move your date at no charge.
All cancellations must be submitted in writing (email is acceptable). The cancellation date is determined by the date and time the written notice is received by Umbraphile.
Umbraphile reserves the right to cancel a booking before the event if we determine that the event poses a safety risk to our staff or violates applicable law. In such cases, a full refund will be issued. If services end during an event, Section 6 applies.
5. Client Responsibilities
